Order Confirmation & Tracking
- Order Confirmation: Once your order is successfully placed, a confirmation email containing your detailed order information will be automatically sent to your registered email address.
- Order Processing: Your order is typically processed and verified within 12 hours, after which it is synced to our distribution center for fulfillment.
Order Cancellation
- In-Stock Products: To ensure the fastest possible delivery, orders are processed within 12 hours and immediately forwarded to our fulfillment centers. Consequently, we are unable to cancel or modify an order once it has entered the shipping process. We kindly ask that you review your order details carefully before finalizing your purchase.
- Pre-Ordered Products: If you wish to cancel a pre-order, please Contact Us as soon as possible. We will be happy to assist you with the cancellation provided the item has not yet been prepared for shipment.
- Shipping Notification: When your package leaves the distribution center (usually within 24 hours of processing), you will receive a Shipping Confirmation email. This email will include a tracking number, allowing you to monitor your delivery status in real-time.

- Remote areas, international shipments, and oversized products may incur additional fees.
Important Shipping Details
- Multiple Shipments: To protect your items and optimize speed, orders with multiple items may arrive in separate packages. This does not increase your shipping cost.
- Address Accuracy: Please double-check your shipping address. Once an order is submitted, we cannot modify the address or shipping method.
- Failed Delivery: If a package is returned to us due to an incorrect address, a refund will be issued. However, if a package is delivered to an incorrect address provided by the customer and is not returned to us, we are unable to process a refund.
- Tracking Delays: For Amazon Logistics, tracking info may take 24–48 hours to update. This delay does not affect the actual movement of your package.
Missing or Lost Packages
If your tracking information indicates that your package has been "Delivered" but you are unable to locate it, please follow these steps before contacting us:
- Verify Shipping Details: Double-check your order confirmation to ensure the delivery address provided was 100% accurate.
- Conduct a Physical Search: Check around your property, including porches, garage areas, and back doors. Carriers occasionally place packages in discreet locations to prevent theft.
- Inquire with Others: Check with household members, neighbors, or your building’s reception/management office to see if the package was accepted on your behalf.
- Wait 24 Hours: In rare cases, carriers may mark a package as delivered up to 24 hours before its actual arrival.
Still haven't found it?
If your package remains missing after 24 hours of the "Delivered" status, please Contact Us immediately. We will initiate a trace with the carrier to help resolve the issue as quickly as possible.
Sales Tax & Tax Exemption Policy
At ProtoArc, we are required by law to collect sales tax on orders shipped to jurisdictions where we have a tax obligation. The tax amount is calculated based on the shipping address and the applicable state and local tax rates.
However, we offer a Tax-Exemption Program for qualified customers, including non-profit organizations, educational institutions, government entities, and authorized resellers.
Who Is Eligible?
You may qualify for tax-exempt purchasing if you represent one of the following.
- Non-Profit Organizations: Organizations with valid IRS 501(c)(3) status or state-level tax exemption.
- Resellers & Distributors: Businesses purchasing goods for resale purposes (must hold a valid Resale Certificate).
- Educational Institutions: Public schools, colleges, and universities.
- Government Entities: Federal, State, or Local government agencies.
Required Documentation
To verify your status, you must provide a valid certificate issued by the state where the product is being shipped.
- For Resellers: A valid State Resale Certificate or Uniform Sales & Use Tax Certificate.
- For Non-Profits/Governments: A valid State Sales Tax Exemption Certificate.
- Note: A federal EIN (Employer Identification Number) or W-9 form is generally not sufficient for sales tax exemption.
How to Apply
- Create an Account Register for a standard customer account on ProtoArc.com if you haven't already.
- Submit Your Documents Send your valid Tax Exemption Certificate or Resale Certificate to us via one of the following methods:
- Verification Our team will review your documents. This process usually takes 1-3 business days.
- Confirmation & Shopping Once approved, you will receive a confirmation via email. Your account will be marked as tax-exempt. You can then log in and place your order—sales tax will automatically be removed at checkout.
Frequently Asked Questions (FAQ)
Do you offer Next-Day Delivery or the option to upgrade to expedited shipping for an extra fee?
At this time, our logistics partners do not offer a guaranteed Next-Day Delivery service. However, we take great pride in our efficiency—most orders are processed within 12 hours and delivered via our expedited network (including Amazon Logistics) within 3 to 5 business days. We are constantly working with our carriers to expand our shipping options in the future.
Is Cash on Delivery (COD) available as a payment method?
We currently do not support Cash on Delivery. To ensure a secure and seamless transaction for both parties, we accept a variety of encrypted payment methods at checkout, including major credit cards and Paypal. This allows us to process your order immediately and get your product on its way to you faster.
Can I pick up my order directly from one of your warehouses?
We appreciate the interest in getting your items quickly! However, our fulfillment centers are automated facilities and are not set up for public access or in-person pickups. To ensure your safety and the efficiency of our operations, all orders must be placed online and delivered directly to your provided address.
I placed an order with a German address, but I would like to change the destination to France. Is this possible?
We understand that plans can change! However, due to regional tax regulations (VAT) and the automated nature of our international logistics, we are currently unable to redirect packages between different countries once an order has been initiated.
Can I get a refund for tax if I already placed an order?
A: No. We are unable to refund sales tax on orders that were placed prior to your account being approved for tax exemption. You must wait for confirmation of your exempt status before ordering.
Can I use my tax-exempt account for personal purchases?
A: No. Tax-exempt purchases must be made using the funds of the organization and must be used for the organization's business or charitable purposes. Using a tax exemption for personal use is a violation of tax laws.
Does tax exemption apply to international orders?
A: This policy applies primarily to U.S. Sales Tax. International orders may be subject to VAT, GST, or Customs Duties depending on the destination country, which are generally not covered by U.S. tax exemption certificates.
